Role:
We're looking for a proactive, detail oriented Executive Virtual Assistant to support our client. This is not a task taker role. You’ll be the right hand person helping manage emails, team coordination, calendar scheduling, follow ups, and anything else needed to free up the CEO’s time and energy. Bonus if you understand the Christian marketspace and are bilingual (English/Spanish).
Your primary goals and KPIs are:
• Proactively think about and execute different items and tasks that you can take off of the CEO's plate.
• Cut down the CEO’s time spent within their email inbox.
• Own the communication and follow-up process with internal team and external contacts.
• Keep meetings, projects, and tasks on track without being told.
Priorities
• Be proactive: find bottlenecks for the CEO's time, come with solutions, not just questions.
• Manage CEO's calendar, prep for meetings, follow-up after calls.
• Keep the team aligned and moving forward on open tasks.
Responsibilities
• Calendar management via Calendly and Outlook.
• Handling calls and conversations that do not require the direct decision making of the CEO.
• Email triage and communication on behalf of CEO.
• Internal and external follow-up using WhatsApp, email, and Pipedrive.
• Research and prepare notes for the CEO when he needs to attend calls.
• Support light reporting (Mailchimp), travel booking, and general admin.
Requirements
• Fluent English (C1/C2 level).
• Experience with executive support, ideally in marketing or media.
• Proficient in Microsoft Office, Outlook, and WhatsApp.
• Self-starter who takes initiative and communicates clearly.
• Experience or interest in a faith based company (strongly preferred).
KPIs/Results Expected
• CEO only sees what requires his attention.
• Smooth, prepared calls with follow-up strategies in place.
• All projects and communications tracked and moved forward.
Remote: LATAM only.
Language: English required, Spanish preferred.
