We are looking for a Home-Based Virtual Assistant to join our Client, a growing U.S.-based company specializing in data center infrastructure, containment systems, manufacturing, and installation services. In this role, you will provide day-to-day administrative, customer service, and operational support by managing emails and phone calls, coordinating schedules and travel arrangements, preparing invoices and presentations, conducting online research, supporting lead generation activities, and assisting with social media content.

This role is ideal for someone who is highly organized, detail-oriented, adaptable, and comfortable managing a variety of responsibilities in a fast-paced remote work environment. You will work closely with the Client and internal team members to ensure tasks are completed accurately, efficiently, and according to established processes and priorities.

REQUIRED CORE COMPETENCIES

WHAT YOU WILL DO

• Administrative Support: Provide day-to-day administrative and operational support to the Client and internal team members.

• Email & Communication Management: Monitor, organize, and respond to emails and other business communications as directed.

• Calendar & Meeting Coordination: Schedule meetings, manage calendars, coordinate appointments, and assist with meeting preparation and follow-ups.

• Travel Coordination: Assist with travel arrangements, accommodations, itineraries, and other travel-related requirements for team members.

• Data & Records Management: Maintain and update spreadsheets, databases, contact information, project records, and other business documentation.

• Online Research: Conduct research on companies, vendors, contacts, products, projects, or other business-related information as requested.

• Document & Presentation Support: Prepare, format, and update presentations, reports, spreadsheets, and other business documents.

• Project & Operations Coordination: Assist with tracking schedules, documentation, action items, and administrative requirements to support ongoing projects and business operations.

• Internal Coordination: Communicate and coordinate with internal teams to gather information, follow up on outstanding items, and help ensure tasks are completed on time.

• General Virtual Assistance: Provide flexible administrative support based on changing business priorities and Client requirements.

• Perform tasks analogous to the preceding and other related duties as assigned.

WHAT WE LOOK FOR

• Education: Bachelor's degree in Marketing, Communications, Business Administration, or a related field.

• Experience: 1–3 years of experience as a Virtual Assistant, Administrative Assistant, Executive Assistant, Customer Service Representative, or in a similar administrative support role.

• Language Proficiency: Strong verbal and written English communication skills.

• Working Schedule: Ability to work overnight/graveyard shifts in Philippine time or within U.S. operating hours.

• Technical Skills:

  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.

  • Proficiency in Google Workspace applications, including Gmail, Google Sheets, Google Docs, and related tools.

  • Comfortable using email, instant messaging, calendar management, and other online communication platforms.

  • Ability to conduct accurate online research and organize information using spreadsheets and databases.

  • Ability to prepare professional presentations and business documents.

  • Comfortable learning and navigating new software, systems, and online tools.

  • Strong organizational, multitasking, and attention-to-detail skills.

  • Previous experience supporting U.S.-based clients or working in an offshore/BPO environment is highly advantageous.

• Salary Range: PHP 50,000

• Work Shift: 8:00 AM–5:00 PM CST (USA)

• Workdays: Monday through Friday (USA)
